Terms of Use

These Terms of Use explain the conditions that apply when you access ClientNote on the Web, iPhone or Android. By creating an account or continuing to use the service, you agree to use ClientNote lawfully, securely, and in accordance with your professional responsibilities.

Your authority to use ClientNote

You must be able to enter into these terms and be authorised to use ClientNote for your organisation or professional work. You are responsible for following the laws, workplace policies, professional standards, and contractual duties that apply to you.

Professional documentation

ClientNote is a documentation assistant. It does not provide clinical, legal, safeguarding, diagnostic, or professional advice. You remain responsible for reviewing every transcript and case note, correcting errors, deciding what belongs in an official record, and exercising independent professional judgement.

Recording and permission

Only record a session when you have the authority and any permission required in your location and professional setting. Do not use ClientNote to record secretly, unlawfully, or contrary to an organisation policy or a person’s rights.

Account and device security

Keep your sign-in details confidential, protect every device used with ClientNote, and tell ClientNote promptly if you suspect unauthorised access. You are responsible for activity performed through your account unless the law provides otherwise.

Acceptable use

Do not misuse ClientNote, attempt to bypass security or organisation boundaries, upload unlawful or malicious material, interfere with the service, reverse engineer protected parts of the service except where law permits, or use the service to harm another person.

Web, iPhone and Android service

Your ClientNote account may be used across the supported website, iPhone app and Android app. Features can differ slightly by platform or release. Synchronisation requires a working connection, and temporary encrypted recovery data may remain on a mobile device while an interrupted recording or upload is being recovered.

AI output and availability

Transcription and generated text may contain omissions, speaker errors, or other inaccuracies. Service availability can also be affected by internet connections, app stores, infrastructure providers, and maintenance. Keep appropriate professional continuity and record-keeping procedures outside ClientNote.

Your content

You retain responsibility for the information you submit and the records you create. You grant ClientNote the limited permission needed to host, process, synchronise, and transmit that content solely to operate the service and the features you request.

Changes and ending use

ClientNote may update features or these terms as the service develops. Material changes should be communicated through an appropriate service notice. You may stop using ClientNote and use the available account controls, subject to any professional or organisational record-keeping duties that continue to apply.
